What are Attachment Types and what can I do with them?

Attachment Types refer to templates in Microsoft Word (.dot). You can create a template in Word, for example a Quote layout , and in this screen inform Protean of it and give it a name. Once you have one or more templates configured in this way you can use them to automatically create documents from Protean in Word.

For example, if you were raising a quote for a job, you could go to the Reference section of the Job and click the attachments button to open the ‘Attached Files’ window.

Clicking the ‘Create’ button opens a list of templates previously set up as Attachment Types. By selecting one and clicking ‘Create’ again will open Word, open the template specified and then copy through details from the Job to the document e.g. Customer Name & Address etc.

When you save the document in Word it is automatically attached to the Job in Protean. Documents can be created in this way from Jobs, Sales Orders, Maintenance Contracts and Hire Contracts.

How do I add new Attachment Types?

  • Go to Config ➔ CRM ➔ Attachment Types

Within here you will see the list of Attachment types setup within Protean.

To add a new type, go to the bottom of the list and enter your new type in the empty last row. You can also select a word template and tick to specify whether this attachment type can be seen on the Mobile Devices (PDA) and Customer Web portal.
