How do I sell Stock Equipment?

To sell a Stock piece of Equipment you will need to create a Sales Order. To do this, go to:

Sales > Create Sales Order

• Ensure the ‘Type’ in the top right is set to ‘Equipment’
• Enter the Invoice and/or the Delivery Account codes for the customer you are selling the Equipment(s) to by typing in the Alpha or clicking into the […] button to open up a Customer search window
• Add any additional order details you require, such as a Customer Order Reference, Due Date, Carriage, Sales Rep, etc
• Ensure the ‘Depot’ is correctly set as the equipment will come from the store of the controlling Depot
• Then add the required Equipment to the order by typing in the full Equipment number if known into search field on the bottom left or alternatively click the […] button to open the Equipment search window
• Enter any relevant Warranty information such as duration, meters and also any Contingency information if you are selling to a finance company – the Warranty and Buy-Back is automatically copied onto the ‘Financial’ tab of the Equipment record
• The Cost Price populates automatically, pulling this information from the Current Value field on the Equipment record – this can’t be amended here
• Enter the Sale price for the Equipment(s) as necessary
• Additional Miscellaneous items can be added to the Sales Order on the ‘Misc’ tab
• Trade Ins can also be added – see the Article for Trade Ins for additional information
• Items sold from the Sales Order can also be added to a Maintenance Contract using the ‘Add to Maint Contract’ button on the Equipment tab, or a Pre-Delivery Job can be generate using the ‘Prepare for Sale’ button next to it
• Once each Equipment required is added to the order, you can print a Quote or Order Acknowledgement
• Additional details that you would like to show on the Invoice can also be added on the ‘Other Details’ tab in the ‘Invoice Text’ field
• When necessary, click the ‘Place’ button to place and save the Order
• At any given point a ‘Pro Forma’ can be generated for the Order on the ‘Other Details’ tab
• You will then need to despatch the items by clicking the ‘Despatch’ button

• A Despatch Note will open in a new window
• Click through the options on the Despatch Note processing the pieces of Equipment through ‘Arranged’, ‘In Transit’ and ‘Arrived’ on site
• Once the Despatch Note is complete you will need to return to the Sales Order and click the ‘Invoice’ to generate the invoice for the Order
• Once generated the Sales Order will now show as completed

On the Sales Order, the ‘Zero OS’ button will allow you to cancel the sale of any outstanding items on the Sales Order if the initial despatch didn’t include all items on the Order.

Similarly, the ‘Cancel’ button will allow you to the order if none of the items have been despatched or invoiced.

Note: You must generate a separate Invoice for each Despatch Note produced from the Sales Order.
