How do I assign a Site Route to a customer?
- Click on Customers to view the Global Enquiry screen
- Search for the customer that you want to assign the site route to and double click onto this customer
- Select the appropriate Site route from the drop-down list for this customer
How do I use the Area facility?
- Click on Customers to view the Global Enquiry screen.
- Search for the customer that you want to add a new Area reference against.
- Within the customer record, you can type in a new Area reference
- This will then be viewable on the Jobs global enquiry screen and also allow you to use this when running the Update Service Jobs routine if you only want certain jobs to be created.
How do I put a customer On Stop in Protean?
- Click on Customers to view the Global Enquiry screen. Search for the customer that you want to put On Stop.
- Click on the accounts tab on the customer record
- In the bottom left of the screen, you can put the customer on hold for certain aspects of Protean such as Jobs and Sales Orders. Select which option you want the customer to be on stop for.
- For example, if you put a customer On Stop for Jobs, if you then attempted to create a job for this customer, you would get a message to advise that the customer is On Hold
- If you are using Sage or Pegasus as your accounts software, then placing a Customer On-Stop in there will automatically put them On Stop in Protean when you do a customer import.
How do I add contact information to my customers?
- Click on Customers – Create Contact
- Within here, you can enter the Contact information such as First name and Last name. You can also select the Company that this contact will be associated to
- You can create as many Contacts as you want against Customers.
- Once the contacts have been created, you can also list the contacts that deal with certain aspects of the business such as the contact that will deal with the Equipment on site and the contact that deals with the Accounts:
How do I view the CRM History for a Customer?
- Click on Customers to view the Global Enquiry screen. Search for the customer that you want to view the CRM history against.
- At the bottom of the Customer record, click on the CRM History button
The CRM History screen displays all previous contacts with this customer (these could be meetings, calls, letters etc) with the most recent at the top of the list.
How do I E-Mail a customer from Protean?
- Click on Customers to view the Global Enquiry screen. Search for the customer that you want to view the Email
- Click on the Envelope icon against the email address that you want the email to be sent to
- This will then open a new Email within Outlook and allow you to send an email to this customer
- Once the Email has been sent, this will then return you back to Protean
How do I record any notes about a customer?
- Click on Customers to view the Global Enquiry screen. Search for the customer that you want to add notes against.
- Click on the Memo tab on the customer record
- Click into the General Notes box and begin typing. This box will accept any text, numbers, dates or symbols
How do I have notes that ‘pop-up’ for a Customer?
- Click on Customers to view the Global Enquiry screen. Search for the customer that you want to add pop-up notes against.
- Click on the Memo tab on the customer record
- Click into the pop-up notes box and begin typing. This box will accept any text, numbers, dates or symbols. Next to the pop-up notes box, you can determine where these pop-up notes will appear. If you select Show, this pop-up notes will only appear once. If you select Recur, the pop-up notes will appear every time the specified screen is opened. For example, if you have Job select as Recur, every time a job is opened for this customer, the pop-up notes will appear.
